Terms & Conditions

Please read these terms carefully before confirming a booking. By proceeding with a booking through My Trip Looker, you agree to the terms set out below.

1. Definitions

  • "My Trip Looker", "we", "us": The travel planning service operated under the My Trip Looker brand.
  • "Client", "you": The individual or group that has engaged My Trip Looker to plan or book travel.
  • "Booking": A confirmed reservation made on your behalf with an airline, hotel, transfer operator, or other travel service provider.
  • "Itinerary": The structured travel plan, including day-wise schedule, accommodation, transfers, and cost breakdown, delivered to you prior to booking.
  • "Suppliers": Third-party providers including airlines, hotels, transfer operators, visa agencies, and activity providers.

2. Booking Confirmation

A booking is confirmed only when all of the following conditions are met:

  • You have reviewed and approved the itinerary in writing (via WhatsApp or email)
  • The required advance payment has been received and confirmed by My Trip Looker
  • My Trip Looker has issued a written booking confirmation message referencing the specific journey

A feasibility assessment, itinerary draft, or cost sheet does not constitute a booking. Prices quoted at the planning stage are estimates and are confirmed only at the time of booking, subject to live availability and prevailing rates.

Important: No travel service is reserved until written booking confirmation is issued by My Trip Looker. You are not committed to any payment until you explicitly approve the itinerary and initiate payment.

3. Payment Schedule

3.1 Advance Payment

A non-refundable planning and coordination fee is applicable for all confirmed bookings. This amount will be clearly stated in your cost sheet before confirmation. It covers itinerary design, feasibility assessment, supplier coordination, and booking management.

3.2 Deposit and Balance

  • For domestic bookings: Full payment or a minimum 50% deposit is typically required at confirmation, with the balance due no later than 14 days before departure.
  • For international bookings: A minimum 50% deposit is required at confirmation. The remaining balance is due no later than 30 days before departure, unless the specific supplier requires otherwise.
  • For last-minute bookings (within 14 days of departure): Full payment is required at confirmation.

3.3 Payment Methods

Payments are accepted via bank transfer (NEFT/IMPS/UPI) to the account details provided in your booking confirmation. We do not accept cash. Receipts are issued for all payments received.

3.4 Price Variability

All prices quoted are based on rates prevailing at the time of the quote. Travel prices — particularly flights, hotel rates, and rail fares — are dynamic and subject to change. My Trip Looker will notify you of any material price change before proceeding with a booking. If a price increases significantly after confirmation and before booking is completed, you will be informed and given the option to confirm at the revised rate or withdraw.

4. Cancellation & Refund Policy

Cancellations must be communicated in writing via WhatsApp or email. The cancellation date is the date on which written notice is received by My Trip Looker.

4.1 My Trip Looker Planning Fee

The planning and coordination fee is non-refundable, regardless of cancellation timing. This fee compensates for work already completed — including feasibility assessment, itinerary design, and supplier negotiation.

4.2 Supplier Cancellation Charges

Refunds for flights, hotels, and other booked services are governed by the respective supplier's cancellation policy. My Trip Looker will communicate the applicable cancellation terms at the time of booking. Typical structures are:

  • More than 45 days before departure: Refund less supplier cancellation charges (if any)
  • 30–45 days before departure: 25–50% of booking value forfeited, subject to supplier policy
  • 15–30 days before departure: 50–75% forfeited, subject to supplier policy
  • Less than 15 days before departure: Up to 100% forfeited, subject to supplier policy
  • Non-refundable bookings: Certain fare classes and hotel rates are booked as explicitly non-refundable. These will be clearly flagged in your cost sheet prior to confirmation.

4.3 Refund Processing

Eligible refunds will be processed to your original payment method within 7–14 business days of the supplier confirming the refund. My Trip Looker does not hold client funds beyond the booking payment. Any delay in refund is attributable to the respective supplier or banking institution.

Note on airline refunds: Many airlines require refunds to be processed directly by the originating booking source. My Trip Looker will coordinate this on your behalf. However, processing timelines are subject to airline policies and are outside our control.

5. Visa Responsibility

My Trip Looker provides visa documentation guidance and timeline mapping as part of international planning. This includes identifying applicable visa type, compiling required documentation, and recommending application windows.

Visa approval is the exclusive authority of the relevant foreign government or embassy. My Trip Looker cannot guarantee visa issuance, processing time, or outcome. A denied visa does not automatically entitle the client to a refund of supplier costs already incurred.
  • You are responsible for ensuring your passport is valid for the required period beyond travel dates
  • You are responsible for providing accurate, complete documentation for visa applications
  • My Trip Looker will advise on standard processing windows, but cannot account for delays caused by embassy backlogs, incomplete applications, or administrative changes
  • If a visa is denied, My Trip Looker will assist with rescheduling or alternative planning, but cannot waive or absorb supplier cancellation charges already incurred

6. Force Majeure

My Trip Looker shall not be liable for any failure or delay in performance arising from events beyond our reasonable control, including but not limited to:

  • Natural disasters, floods, earthquakes, or extreme weather events
  • Pandemics, epidemics, or public health emergencies declared by competent authorities
  • War, civil unrest, terrorism, or government-imposed travel restrictions
  • Strikes or industrial action affecting airlines, airports, or transport networks
  • Changes in visa, entry, or border policy by foreign governments
  • Airline cancellations or flight disruptions outside our control

In the event of a force majeure situation, My Trip Looker will make reasonable efforts to reschedule, redirect, or recover costs from suppliers on your behalf. However, refunds are subject to the policies of the respective suppliers and cannot be guaranteed by My Trip Looker.

7. Third-Party Supplier Liability

My Trip Looker acts as a planning and coordination intermediary. We do not own or operate airlines, hotels, transfer vehicles, or any other travel service.

My Trip Looker is not liable for:

  • Service failures, delays, or quality issues caused by third-party suppliers
  • Loss, damage, or injury caused by any supplier's actions or omissions
  • Changes to flight schedules, hotel amenities, or tour operations made by suppliers after booking
  • Disruptions caused by the supplier's own force majeure events

My Trip Looker will act on your behalf to pursue resolutions or refunds from suppliers where applicable. Our liability in respect of any supplier failure is limited to the coordination effort — not the monetary value of the supplier's service.

We review supplier performance after each journey and remove underperforming suppliers from our network. This is a systemic quality control measure, not a guarantee of service delivery.

8. Client Responsibilities

  • Provide accurate and complete information regarding travel dates, group composition, and budget
  • Review all itinerary and cost documents before confirming
  • Obtain adequate travel insurance covering trip cancellation, medical emergencies, and personal liability
  • Ensure all travellers hold valid travel documents for all destinations on the itinerary
  • Comply with local laws and regulations at all destinations
  • Inform us of any changes to group composition or travel requirements promptly

9. Travel Insurance

My Trip Looker strongly recommends that all travellers purchase comprehensive travel insurance prior to departure. This should include, at minimum, cover for trip cancellation, medical emergencies, hospitalisation abroad, personal baggage, and travel delay. My Trip Looker does not sell travel insurance and is not liable for losses that would have been covered by insurance had it been in place.

10. Pricing Variability Clause

All budget ranges and cost estimates provided by My Trip Looker — whether on this website, in planning documents, or in communications — are indicative and based on data available at the time of preparation. Final prices are confirmed at booking and are subject to:

  • Live fare availability at the time of booking
  • Seasonal rate changes for accommodation and transport
  • Currency exchange rate fluctuations for international bookings
  • Changes in airline fuel surcharges, taxes, or government levies
  • Supplier rate revisions between the planning and booking stages

My Trip Looker will notify you of any material price difference from the estimate before proceeding. You retain the right to withdraw at no additional cost if a price change is unacceptable, provided no non-refundable booking has yet been made.

11. Disputes & Governing Law

These Terms & Conditions are governed by the laws of India. Any disputes arising from your engagement with My Trip Looker shall first be addressed through good-faith communication. If unresolved, disputes shall be subject to the jurisdiction of courts in India.
